Our Projects
The IT Division strives to bring the university the most advanced, relevant, and useful technologies to campus. To keep the university community abreast of projects within the IT Division, we publish milestones for our most visible projects and update them frequently, as circumstances can cause dates to change. Milestone details may include links to project charters and communications plans. At this time, those documents are only visible to IT division staff.
Information on this page can be filtered to better suit your needs. Filters include unit, dates, stakeholders, and project tiers. Tier one projects are strategic projects within the division and are the most visible to the Texas State community. Tier two projects are key projects the division is working on and are highly visible and have a significant impact on the university. Tier 3 projects are local projects and may not impact large portions of the university.

- SAP Drivers Consent Forms Live

Description: During the most recent state legislative session, new laws were passed prohibiting state agencies from using GPS data without consent from employees or constituents. This project implements a consent form accessible in SAP for drivers to acknowledge and consent to the GPS tracking of university vehicles.

- Windows 11 operating system made available for reimaged computers

Description: Microsoft rolled out its latest operating system, Windows 11, in October 2021. Texas State currently uses Windows 10 as the primary operating system for faculty, staff, and lab computers and we plan to make Windows 11 the primary operating system in the Summer of 2023. Windows 11 is being vetted by the campus IT community to ensure it is secure, while also confirming it is compatible with software essential to TXST including, enterprise-level applications, commonly used browsers, and select cloud applications. We plan to make Windows 11 an available option for university owned devices on June 30, 2022. At this time, faculty and staff can work with ITAC or their department technical staff to request a compatible university owned computer be reimaged to Windows 11. Reimaging involves erasing all data and applications from the computer. Data backup is recommended prior to reimaging.

- Software Cost Sharing Study Complete with Recommendations

Description: The university uses a tiered system of software to manage who is responsible for licenses. There are three tier descriptions: (1) IT Division pays, (2) shared costs between IT and department, and (3) department pays 100%. This project is studying the current tier assignment for FileMaker Pro and SAS licensing.

- Data Center Network Upgrade Complete

Description:The university has been replacing network hardware and implementing the most modern networking protocol (MPLS). All areas of the university have been upgraded, with the remaining area being the data center in JCL. This project replaces aging hardware in the data center and completes the upgrade project.

- Mediaflo Video Content Management System Decommissioned

Description: Ensemble Video, the video content management system (VCMS) behind Texas State’s Mediaflo service was acquired by Panopto in early 2021, and they have set an end of life for the Ensemble Video product in September of 2022. YuJa was made available to Texas State faculty, staff, and students on April 25, 2022. Mediaflo media files and links will be migrated from to YuJa prior to the start of the Fall 2022 semester. On September 30, 2022, Mediaflo will no longer be available for use at Texas State. We will communicate directly with all Mediaflo users on what to expect and when.

Description: This project is essentially “Part I” of a data analytics and business process adjustment initiative, which is to create an infrastructure whereby selected data is stored in datasets that could be combined to provide insights to university administrators. This project is only about creating the “warehouse” of data, not about doing the actual analysis. For example, we might export to our warehouse Canvas usage and login data, wireless usage data, computer lab usage data, or other easily acquired datasets that could be combined or aggregated to create insights or patterns.

Description: An announcement has been made to campus advertising the Unity Scholars program. This program will award two-year scholarships to advanced graduate students who will teach XR workshops at Alkek One and collaborate with the TXST community on immersive storytelling projects. Scholarships will include money for all tuition expenses (including fees), as well as a graduate assistantship.

- Classroom Remote Instruction Delivery Upgrades - Large Classrooms

Description: This milestone will improve the video conferencing technology in all large classrooms. While many classrooms are standardized in their setup, there are quite a few that are unique and will require a special technology solution. These classrooms will see improved camera and microphone technology.

- Migration of Media Content and Links from Mediaflo to YuJa Complete

Description: Ensemble Video, the video content management system (VCMS) behind Texas State’s Mediaflo service was acquired by Panopto in early 2021, and they have set an end of life for the Ensemble Video product in September of 2022. YuJa was made available to Texas State faculty, staff, and students on April 25, 2022. We will migrate media files that are currently in Mediaflo to YuJa during this phase. Users with Mediaflo media files will receive detailed communications on what to expect and when to expect it. Our goal is to have this completed prior to the start of the Fall 2022 semester.

- Computer Replacement Program FY23 Launch

Description: The Computer Replacement Program (CRP) replaces aging computers for faculty and staff at Texas State. Divisions and Colleges will receive computer allocations (units) whereby they can order computers. These computers are standardized and cannot be modified. Some computers may require additional funding. In addition to computer ordering support we will continue to offer historical ordering reports and purchase consulting based on computers assigned to your unit/department.

Description: Texas Administrative Code (TAC) 202 requires agencies and institutions of higher education to use the TAC 202 Security Controls Standards Catalog. The security controls catalog is based on the National Institute of Standards and Technology (NIST) Special Publication (SP) 800-53, R4. Using a centrally managed controls catalog effectively ensures that all agencies and institutions use common language and minimum standards when implementing security measures.

- Windows 11 Becomes Official Operating System at TXST

Description: On this date the official Texas State Windows Operating System will transition from Windows 10 to Windows 11. All new Windows computers ordered on or after this date will come with the standard Windows 11 Texas State image. Additionally, all computers repaired through ITAC with a service that requires the operating system be reinstalled will receive Windows 11. Windows 10 will only be installed on computers that do not meet the minimum hardware requirements for Windows 11.

Description: The automated captions launch will integrate Microsoft Azure with the university's enterprise media management system, Mediaflo. Media assets uploaded to a Mediaflo library or created within the system via Anthem will be transcribed by Azure closed caption transcript will be appended to the media for library owners to work with (edit/enhance) using the embedded Amara caption editor.

Description: This project will facilitate the onboarding of our new employees. Today much of our onboarding occurs in person in the new employee orientation that takes place on the first day of employment. This solution will deliver online onboarding activities for the new employee, prior to their start date. For example collecting bank details for direct deposit, selecting an insurance plan, parking permits, election of electronic W-2, etc. The desire is to eliminate or reduce the amount of time the employee spends in new employee orientation so they can immediately begin performing their job functions rather than spending half a day in orientation.
Notes: This project was scheduled for completion in August 2020 but is being moved due to end-customer competing demands. With the current restructuring of leadership within Human Resources, the project has been put on hold until further notice.
- Social Work Field Placement

Description: Students pursuing Social Work as their major must complete an internship in their last semester at TXST. This web application allows students to apply for an internship, to confirm their academic eligibility, and to select their preferred geographic location and social work areas of interest to be matched with agencies with the same attributes. Agencies will receive an email, including the student’s resume, notifying them of the match. Agency representatives can accept the student for the internship in the tool, following an interview/review process. Automation of the communication and override management, as well as MOU statuses offer additional value to the department.

Description: Students pursuing teacher certification have a required field block element of their curriculum. These field blocks are a combination of a Texas State course taught by TXST instructor, as well as observation of a teacher working in the local school districts. This tool assists confirming the eligibility of the student to register for a field block, matching them with a school district that has availability for observation in the appropriate subject, and automates the communication and overrides necessary for the student to register for the relevant courses, once the match is confirmed.
