Collected attendance data comes from the card readers located at the University's Teaching Theaters. After logging into the Attendance Tracking page, users will be able to locate data based on Course, Date, Time, and Teaching Theater. Users will also have to option to generate reports from this data and export them into excel spreadsheets.

You must be a faculty member that has a class currently scheduled in a Teaching Theater in order to access attendance data.


Different Criteria For Tracking Attendance

Attendance data can be displayed based on different criteria: by Semester, Course, and Date OR by Date and Time.

Selection By Semester, Date, and Course

  1. Select Tracking by Day from the left side menu. 
  2. Click the Term drop-down menu and select the semester.
  3. Click the Location drop-down menu and select the teaching theater where your class meets.
  4. Click the calendar icon and select the date, if other than today.
  5. Click the Course drop-down menu and select your course. Only classes held on the date you selected will be available. If you selected an incorrect date, no attendance data will be displayed. 
  6. Results will load at the bottom of the screen.
  7. Results include the Texas State ID, name of the student, checkin date and time, checkout date and time, duration between checkins, and registration status for the class. If a student does not checkout, no information is recorded. 
  8. Session data will not be generated for students if they do not checkin. 

Selection By Date and Time

  1. Select Tracking by Day from the left side menu. 
  2. Click the Location drop-down menu and select the teaching theater where your class meets.
  3. Click the calendar icon and select the date, if other than today.
  4. Enter the Start Time of your class. 
  5. Select the Period Length. The period length is how long from the start time you would like to display results.
  6. Results will load at the bottom of the screen.
  7. Results include the Texas State ID, name of the student, check in date and time, checkout date and time, duration between check ins, and registration status for the class. If a student does not checkout, no information is recorded.
  8. Session Data will not be generated for students if they do not check in

As defined in the course catalog, entry results include all student check-ins between 15 minutes prior to the start of class through the end of class. Exit results include all checkouts taken after the entry checkin continuing through 15 minutes after the end of class. 


Generate Comulative Reports

Users can generate cumulative attendance reports based on semester, class and date.

Cumulative Attendance Tracking Reports 

  1. Select Cumulative Attendance from the left side menu.

  2. Click the Term drop-down menu and select the semester.
  3. Click the Location drop-down menu and select the teaching theater where your class meets.
  4. Click the Course drop-down menu and select your course.
  5. A date range will automatically populate with the class beginning and end date.
  6. (Optional) If you would like to change the date range, click the calendar icon and select the date.
  7. Click Search. Results will load at the bottom of the screen.

Semester Report Screen Details 

  • An A indicates the student was absent.
  • An empty cell indicates that the student checked in between 15 minutes prior to the start time through 30 minutes after start time.
  • No results will appear for days that no student checkins are recorded.

Exporting Attendance Data to an Excel Spreadsheet

Cumulative or Daily Attendance data can be exported to excel spreadsheets that is generated based on semester, teaching theater, course, and date. Results of this data will include the Texas State ID, name of the student, checkin date and time, checkout date and time, duration between checkins, and registration status for the class. If a student does not checkout, no information is recorded.

Export Cumulative Attendance Data

  1. Select Cumulative Attendance from the left side menu.
  2. Click the Term drop-down menu and select the semester.
  3. Click the Location drop-down menu and select the teaching theater where your class meets.
  4. Click the Course drop-down menu and select your course.
  5. A date range will automatically populate with the class beginning and end date. If you would like to change the date range, click the calendar icon and select the date.
  6. Click Search.
  7. Results will load at the bottom of the screen.
  8. Click the Export icon, which appears as a floppy disk, and select Excel.
  9. A prompt will ask if you would like to Open with or Save File.
  10. Choose one of the options and click OK

Export Daily Attendance Data

  1. Select Tracking by Day from the left side menu. 
  2. Click the Term drop-down menu and select the semester.
  3. Click the Location drop-down menu and select the teaching theater where your class meets.
  4. Click the calendar icon and select the date, if other than today.
  5. Click the Course drop-down menu and select your course. Only classes held on the date you selected will be available. If you selected an incorrect date, no attendance data will be displayed.
